Terms & Conditions

In other words - the small print...

When you book an activity at Halo, you are making a commitment to your health and our community. To ensure everyone has a fair chance to stay active, we ask all our guests to follow these simple booking and cancellation guidelines.

1. How to Book

Booking is quick and easy for everyone! Whether you are a member or a casual visitor, you can book your activities via:

  • The Halo App: Download the Halo App for the fastest way to book and manage your sessions on the go.
  • Online: Visit our website, www.haloleisure.org.uk, to book.
  • In-Person or Phone: Speak to our friendly team at any Halo reception desk or by using our ‘Contact Us’ page.

2. Booking Windows

  • Members: Enjoy priority access with bookings available up to 14 days in advance.
  • General Public: Can book all activities up to 7 days in advance.
  • Payment: For non-members, payment is required on a pay-as-you-go basis at the time of booking to secure your spot.

3. How to Cancel

If your plans change, please let us know as soon as possible. You can cancel your booking through any of the following:

  • The Halo App: Find your booking in the “My Bookings” section and select cancel.
  • By Phone or In-Person: Call or visit your local centre’s reception.

4. Cancellations & “Fair Use”

We know life happens! Our policy is designed to be flexible while making sure spaces don’t go to waste:

  • Notice Period: We ask for at least two hours’ notice for any cancellation. This allows us to offer the spot to someone else.
  • Credits: If you cancel a pay-as-you-go booking with more than two hours’ notice, a credit note will be issued to your account for future use.
  • Occasional Late Cancellations: There is no penalty for occasionally cancelling with less than two hours’ notice (defined as fewer than three times in any rolling three-week period).
  • Frequent Late Cancellations: To keep things fair, cancelling late more than three times in three weeks will result in an automatic 7-day suspension of booking privileges.

4. Non-Attendance & Misuse

  • Missed Bookings: If you have paid for a session and fail to attend without cancelling, no credit or refund will be issued.
  • Member/Discount Penalties: Members or guests receiving a discount who fail to attend (without cancelling in advance) will be charged a ‘Non-Attendance Fee’ equal to the standard pay-as-you-go price or the value of the discount.
  • Booking Integrity: Routine “stockpiling” of bookings followed by late cancellations is monitored. At the General Manager’s discretion, users found to be abusing the system may face a booking ban or membership termination.

5. Important Information

  • Programme Changes: While we strive to stick to our published timetable, Halo reserves the right to change opening times or activities at short notice due to unforeseen circumstances. We will always try to give as much notice as possible.
  • Centre Rules: By making a booking, you agree to abide by the Rules and Regulations of the centre.
